QuickBooks setup

Most QuickBooks problems start in the first week. A proper setup costs far less than cleaning up a year of entries later.

Why QuickBooks setup matters

Opening a QuickBooks Online account is easy. Setting it up so the numbers are right is not. The default chart of accounts rarely matches your business, bank feeds pull in transactions with guesses for categories, and settings for sales tax or contractors are easy to miss. Months later the reports do not make sense and the file needs a cleanup.

Our QuickBooks setup service avoids that. We build your QuickBooks Online file around your business and around how your bookkeeping and tax return will use it, connect your accounts, set the rules and then show you how to use it. We work with businesses in Rochelle Park and across Bergen, Passaic, Essex, Hudson and Morris counties, and online with clients across the U.S. and founders in Turkey.

What our QuickBooks Online setup includes

Chart of accounts built for your business

We create an account list that reflects what you sell and what you spend money on, in a structure your tax preparer can map directly to your business tax return. Owner contributions and draws, loans and credit cards get their own accounts from the start.

Bank feeds and bank rules

We connect your business bank and credit card accounts, set the start date and write bank rules for recurring transactions such as rent, software and card processing fees. Opening balances are entered so the first reconciliation ties to your statement.

Sales tax, 1099 tracking and invoicing

If you sell taxable goods or services in New Jersey, we configure New Jersey sales tax so it is calculated on invoices and tracked as a liability, ready for NJ sales tax filing. Vendors you pay as contractors are marked for Form 1099-NEC tracking, so year-end 1099 preparation uses accurate totals. We also set up your products and services, invoice template and customer list.

Users, payroll and connected apps

We add users with the right access, connect payment and e-commerce apps you use, and set up or connect payroll software such as QuickBooks Payroll or Gusto so wages post to the correct accounts.

Setup and training

Every setup ends with a walkthrough for you and your team: how to review the bank feed, send invoices, record bills and read your profit and loss statement. Training is held by video or at your office.

Moving from QuickBooks Desktop or spreadsheets

If you are switching from QuickBooks Desktop, another accounting program or spreadsheets, we move your lists and opening balances into the new file. When the old data has errors, we recommend a QuickBooks cleanup first: a conversion copies every problem into the new file. If past months were never recorded at all, we can rebuild them during setup with catch-up work.

Common setup mistakes we avoid

  • Using the default account list. It mixes categories your tax return keeps separate, so someone has to reclassify everything later.
  • Accepting bank feeds without rules. QuickBooks guesses categories, and the guesses repeat every month.
  • Skipping opening balances. Without them the first reconciliation never ties out.
  • Mixing personal and business spending. We set up owner accounts so personal items stay out of your expenses.
  • Forgetting sales tax and contractors. Both are much harder to rebuild at year-end than to track from the first invoice.

For foreign-owned U.S. LLCs we also set up the accounts needed to track money the owner puts in and takes out, which matters for the yearly Form 5472 filing.

After the setup

A good setup keeps the file clean for longer, but someone still has to reconcile accounts and review the books every month. You can do it yourself with what we showed you, or have us take over with monthly bookkeeping. Many new small businesses in New Jersey start with setup and move straight into monthly service.

Short answers to what owners ask while we plan the file.

Your company details and fiscal year, online access to your business bank and card accounts, recent statements for opening balances, and a list of what you sell and who you pay as contractors.

New businesses and newly formed LLCs, companies moving off QuickBooks Desktop, spreadsheets or another program, and foreign-owned U.S. LLCs that want organized books from the start.

You run invoices, bills and the bank feed yourself, or hand the monthly reconciliations and reports to us. Either way the file starts with a structure that fits your tax return.

Frequently asked questions

A bookkeeper who works in QuickBooks every day is usually the right person, because they set up the file the way it will be used for monthly bookkeeping and tax returns. We set up QuickBooks Online for small businesses in New Jersey and online across the U.S., and we can keep the books for you afterwards if you want.

The cost of our setup depends on how many bank and card accounts we connect, whether data needs to be moved from another program and whether you need sales tax, inventory or payroll settings. We quote one fixed price after a short call. The QuickBooks subscription itself is billed separately by Intuit.

Creating a QuickBooks Online account takes minutes. Setting it up correctly takes more: a chart of accounts that fits your business, bank rules that categorize correctly, sales tax and contractor settings, and opening balances that match your bank. Mistakes made there carry into every report, which is why many owners have it done once, properly.

Yes, many owners learn to send invoices, record bills and review reports. What is harder to learn alone is the accounting behind it. We set up the file and then show you the tasks you will do yourself, so you can run daily work in QuickBooks while the structure stays correct.

For most small businesses we recommend QuickBooks Online. It works from any device, connects to your bank and lets your bookkeeper work in the same file remotely. If you are on QuickBooks Desktop, we can move your data to QuickBooks Online and clean it up first so old errors do not come with it.

Yes. We can set up QuickBooks Payroll or connect another payroll provider such as Gusto, so payroll posts to the right accounts in your books. See our payroll services page for what we handle.
