Is your QuickBooks file a mess?
QuickBooks is only as accurate as the entries that go into it. When bank feeds are accepted without review, when the same deposit is recorded twice, or when personal and business spending mix, the reports stop matching your bank. You see it at tax time, or when a lender asks for financial statements and the numbers do not hold up.
Our QuickBooks cleanup services fix those errors at the source. We go through your file account by account and month by month until the books match your statements. You get a profit and loss statement and balance sheet you can rely on. We work with businesses in Rochelle Park and across Bergen, Passaic, Essex, Hudson and Morris counties, and online with clients anywhere in the U.S.
Signs you need a cleanup
- Your bank or credit card balances in QuickBooks do not match your statements.
- Accounts have not been reconciled for months, or were never reconciled.
- Income looks too high because deposits were recorded twice.
- Undeposited funds, “Ask My Accountant” or opening balance equity carry large balances.
- Your tax preparer sent the books back, or you are not sure the numbers are right.
What our QuickBooks cleanup includes
Bank and credit card reconciliations
We reconcile every bank, credit card and loan account to its statements for each month in scope. Missing transactions are added, duplicates are removed and uncleared items are investigated until each month ties out.
Transactions and categories
We review income and expenses for wrong categories, owner draws recorded as expenses, transfers recorded as income and personal spending in business accounts. The IRS recordkeeping guidance for small businesses expects records that clearly show your income and expenses and support the items on your tax return. Vendors and customers are merged where they were set up twice, so you can also rely on your 1099 filing at year-end.
Chart of accounts and balance sheet
A cleanup is not finished until the balance sheet makes sense. We simplify the chart of accounts, clear old balances in undeposited funds, accounts receivable and accounts payable, and fix loan and equity accounts.
Sales tax and payroll entries
If you collect New Jersey sales tax, we make sure the sales tax liability in QuickBooks matches what was filed. Payroll entries are checked against payroll reports. If filings are behind, our NJ sales tax filing service can bring them current.
QuickBooks Online and QuickBooks Desktop
We clean up both QuickBooks Online and QuickBooks Desktop files. If you plan to move to QuickBooks Online, clean the data first: a conversion copies every error into the new file. When the books are clean, our QuickBooks setup service configures the new file, bank feeds and rules correctly from day one.
Cleanup, catch-up or monthly bookkeeping?
- Cleanup fixes a period that was recorded, but recorded wrong.
- Catch-up bookkeeping builds the records for months that were never entered.
- Monthly bookkeeping keeps the file clean after that, with reconciled books and reports every month.
Most clients need a mix. During the free review we tell you which one applies, so you only pay for the work your file actually needs.
Our QuickBooks cleanup checklist
Every cleanup ends with the same checks before we hand the file back:
- All bank, credit card and loan accounts reconciled through the last month in scope.
- No unexplained balances in undeposited funds, uncategorized income or uncategorized expense.
- Accounts receivable and accounts payable match real open invoices and bills.
- Sales tax liability and payroll liabilities agree with filed returns.
- Owner contributions and draws recorded in equity, not in income or expenses.
- Profit and loss and balance sheet reviewed with you on a call.
Clean books are the starting point for an accurate business tax return and for real tax planning. Book a free review of your QuickBooks file, and we will quote the cleanup individually before any work starts.
