Visitors in Turkey have additional rights under Turkish data protection law (KVKK). Our Turkish-language notice, the “KVKK Aydınlatma Metni”, is published at solutionhub.us/tr/kvkk-aydinlatma-metni/.

To provide our services we collect, through the secure method we give you at engagement:

  • identity information: full name, date of birth, address, Social Security number or ITIN, passport or other government ID (including original passports we review as a Certifying Acceptance Agent);

  • billing and payment information. When online payments are introduced, card and bank payment details will be processed by our payment processor (QuickBooks Payments or Stripe). We do not store full card numbers.

We collect only what the service needs. Some of this information is “sensitive” under state privacy laws. We use it only to provide the service you asked for and to meet legal requirements, and never for advertising.

3.3 Information collected automatically

When you visit our public pages, we and our technology partners may collect:

  • IP address and approximate location (city or region) derived from it;
  • browser type, device type, operating system and language;
  • pages viewed, time on page, the website that referred you and links you clicked;
  • cookie identifiers and similar identifiers;
  • advertising click identifiers in the page address (for example Google “gclid”, Meta “fbclid” and LinkedIn click IDs) when you arrive from an ad.

Details are in our Cookie Policy.

  • Calendly, when you book an appointment.
  • Google, for public reviews you post about us on Google.
  • Public records, such as state business registries, when we prepare formation or annual report filings.
  • People who refer you to us.

4. Please do not send sensitive data through the website

Do not send Social Security numbers, ITINs, passport numbers or images, bank account numbers, tax returns or other tax documents through our website contact form, Calendly, WhatsApp, text message, social media messages or regular email. When we start working together, we give you a secure method for sending documents. If you send sensitive data through an unsecured channel by mistake, tell us and we will move it to our secure system and delete the unsecured copy where we can.

6. Tax return information (IRC §7216)

Federal law (26 U.S.C. §7216 and Treasury Regulations §301.7216-1 to -3) protects information you give us for, or in connection with, preparing a tax return. That includes your name, address, email and phone number when you give them in connection with tax preparation.

  • We use and disclose tax return information only to prepare and file your returns, or as the regulations permit without consent (for example, to our own service providers that help us prepare returns, or when required by law).
  • We never disclose tax return information to advertising or analytics platforms.
  • We may use a list of our tax clients’ names and contact details to send tax information and offers for additional tax preparation services, as the regulations allow. We do not use tax return information to market our other services (such as bookkeeping or business formation) unless you sign a separate written consent.
  • We never sell tax return information.
  • Any consent we ask for is optional, separate from your engagement, and explains exactly what will be used or disclosed, to whom, and for how long.

If you believe your tax return information has been disclosed or used improperly, you may contact the Treasury Inspector General for Tax Administration (TIGTA) at 1-800-366-4484 or complaints@tigta.treas.gov.

7. Our GLBA privacy notice for clients

Because we prepare tax returns, we are a “financial institution” under the Gramm-Leach-Bliley Act. Individual clients who use our services for personal, family or household purposes receive our GLBA privacy notice when the client relationship begins. In summary:

  • We collect information such as your income, Social Security number or ITIN, account balances and tax information.
  • We share client information only as needed to provide our services (for example with the IRS and state agencies when we file for you, and with service providers that work for us under confidentiality obligations), and as required by law.
  • We do not share client information with other companies for their own marketing. We have no affiliates, and we do not do joint marketing with other financial companies.
  • Because we share only as the law allows without an opt-out, the GLBA does not give you an opt-out right for our current practices. If our practices change, we will send you a new notice first.

We maintain an information security program designed to meet the FTC Safeguards Rule (see section 15).

8. Advertising, analytics and other tools

We use or may use the following tools on our public marketing pages. Tools marked “advertising” or “analytics” load only as described in our Cookie Policy: only after you agree on our Turkish-language pages and for visitors in regions that require consent, and by default with an opt-out for other U.S. visitors.

How we limit tracking:

  • No advertising or analytics tags run on client portal, document upload, payment, intake or consent pages.
  • When you submit our contact form or a lead form, we send ad platforms only a generic “lead” event. We do not send the service you asked about, tax information, Social Security numbers or ITINs, income, immigration status or the contents of your message.
  • We have not turned on features that send hashed email addresses or phone numbers with conversion events (such as Google enhanced conversions, Meta advanced matching or OpenAI advanced matching). Before we turn any of them on, we will update this policy and obtain any consent the law requires.
  • Customer lists: we do not upload lists of tax clients or tax-service leads to ad platforms (for example Google Customer Match, Meta Custom Audiences or LinkedIn Matched Audiences) without a signed IRC §7216 consent. We do not upload contacts located in Turkey. We upload other contacts only with the consent the law requires.
  • We do not use session recording or heatmap tools on our forms.

Third parties collect data across sites over time. When advertising tags are active, Google, Meta, LinkedIn and OpenAI may use cookies, pixels and similar technology to collect information about your activity on our site and on other websites over time. They use it to measure ads and to show you ads. They handle that information under their own privacy policies. You can limit this as described in section 12 and on our Your Privacy Choices page.

9. How we share information

We share personal information only as described here.

Recipient What we share Why

10. Sale, sharing and targeted advertising

  • We do not sell personal information for money.
  • We never sell, rent or license sensitive data, including Social Security numbers, ITINs, financial account information, citizenship or immigration status and health information.
  • When advertising tags are active, ad platforms receive identifiers and browsing data from our public pages and may use it for their own purposes. Some state laws (for example in New Jersey, Connecticut and California) may treat this as a “sale” of personal data, “sharing” for cross-context behavioral advertising, or “targeted advertising”. You can opt out at any time on our Your Privacy Choices page, through Global Privacy Control, or by emailing info@solutionhub.us.
  • Nevada residents: we do not sell covered information as defined by Nevada law. You may still send an opt-out request to info@solutionhub.us.

11. Your privacy rights

We offer the following rights to everyone in the United States, whether or not your state’s privacy law applies to us:

  • Access: confirm whether we process your personal information and get a copy.
  • Correction: ask us to correct inaccurate information.
  • Deletion: ask us to delete your information.
  • Portability: get a copy in a commonly used electronic format.
  • Opt out of targeted advertising, “sale” or “sharing” of personal information, and profiling that produces legal or similarly significant effects.
  • Withdraw consent you gave us, such as marketing consent, at any time.

How to make a request: email info@solutionhub.us with the subject “Privacy request”, or call +1 (201) 748-9486. You do not need an account. To protect you, we verify your identity by matching information we already hold (for example your email address or client details). We do not ask for your Social Security number to verify a request.

Authorized agents: you may use an authorized agent. We may ask for written permission signed by you and may verify your identity directly with you, except where the law allows the agent to opt out on your behalf without this.

Response time: we respond within 45 days. If we need more time, we will tell you why within that period, and we may extend once by up to 45 more days where the law allows.

Appeals: if we decline your request, you can appeal by replying to our decision or emailing info@solutionhub.us with the subject “Privacy appeal”. We will answer within 45 days and explain our reasons. If your appeal is denied, you may contact your state attorney general. New Jersey residents may contact the New Jersey Division of Consumer Affairs.

Limits: we may keep information that we are required to keep by law, such as tax preparer records, CAA program records and records needed for legal claims. If we cannot delete something, we will tell you why.

No discrimination: we will not deny you services, charge you a different price or give you a different quality of service because you exercised your privacy rights.

12. Global Privacy Control and Do Not Track

  • Global Privacy Control (GPC): if your browser sends a GPC signal, we treat it as a request to opt out of targeted advertising and “sale” or “sharing” for that browser. Advertising tags stay off.
  • Do Not Track (DNT): we treat a Do Not Track signal the same way as GPC, as an opt-out of advertising tags for that browser.
  • You can also change your choices at any time on our Your Privacy Choices page.

13. Email, text and WhatsApp messages

  • Service messages about your inquiry or engagement (appointment confirmations, document requests, deadline reminders, invoices) are part of our service.
  • Marketing email: we send marketing email only where the law allows and every marketing email has an unsubscribe link. We honor unsubscribe requests within 10 business days. Each marketing email shows our postal address.
  • Marketing texts and WhatsApp messages: we send them only if you gave us your express written consent, for example by ticking the separate, unticked box on our form. Consent is not a condition of buying any service. Message and data rates may apply. Reply STOP to opt out or HELP for help.
  • We do not share mobile phone numbers or text-message opt-in data with third parties for their marketing.
  • We do not use the tax client list described in section 6 to market non-tax services without your written consent.

14. Reviews, testimonials, photos and videos

  • We publish a client’s testimonial, photo or video only with that client’s written permission, which covers how and where it is used. You can withdraw permission for future use at any time.
  • We follow the FTC’s rules on endorsements and reviews: we do not publish fake reviews, we do not offer incentives conditioned on positive reviews, and we disclose any material connection with a reviewer.
  • If a testimonial would reveal that you are our tax client or would reveal tax facts, we also ask for a separate IRC §7216 consent.
  • We never restrict your right to post an honest review anywhere.
  • Our Google rating display shows reviews that people posted publicly on Google.

15. How we protect information

We maintain a written information security program designed to meet the FTC Safeguards Rule. It includes:

  • access controls, so only staff who need information for their work can see it;
  • encryption of client data in transit and, where supported by our systems, at rest;
  • multi-factor authentication on systems that hold client information;
  • confidentiality obligations for staff;
  • selection and oversight of service providers that protect information;
  • secure disposal of records that are no longer needed;
  • an incident response process.

No system is completely secure, and we cannot guarantee the security of information sent over the internet. If a data breach affects your personal information, we will notify you and the authorities as required by law.

16. How long we keep information

Information How long we keep it
Inquiries from people who do not become clients Up to 24 months after our last contact, then deleted
Client records, tax returns and workpapers At least as long as federal and state law requires (for example, tax preparers must keep copies or a list of returns for at least 3 years under IRC §6107), and generally up to 7 years after the engagement ends
CAA (ITIN) records As long as our IRS Acceptance Agent agreement requires
Records of consents and opt-outs For as long as the consent is in effect and for at least 3 years after, to prove compliance; opt-out records are kept so we can keep honoring them
Testimonial permissions While the content is published and for 3 years after removal
Google Analytics data 14 months
Cookie consent choice 12 months, then we ask again

When information is no longer needed, we delete it or make it unreadable.

17. Children

Our website and services are not directed to children under 13, and we do not knowingly collect personal information from them online. We do not knowingly use the data of anyone under 16 for targeted advertising. If we learn that we collected a child’s information through the website, we will delete it. Information about dependents that a parent or guardian gives us for a tax return is handled as client information under section 3.2.

18. International visitors and data transfers

We are based in the United States, and we store and process personal information in the United States. Our service providers may process it in the United States or other countries. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

Our services are directed at people in the United States and Turkey. We do not target our services or advertising to the European Union, the United Kingdom or Switzerland.

If you are in Turkey, the Turkish Personal Data Protection Law (KVKK) gives you specific rights. See our KVKK notice at solutionhub.us/tr/kvkk-aydinlatma-metni/.

19. AI tools

We do not use your personal information to train artificial intelligence or large language models, and we do not sell or license it to anyone who does. We do not enter Social Security numbers, ITINs, tax documents or client financial records into consumer AI tools that use inputs to train their models.

20. Changes to this policy

We will update this policy when our practices change, and the “Last updated” date at the top will change. If we make a material change, we will post a notice on our website before it takes effect, and we will notify clients by email where the change affects them. If a change would let us use personal information in a materially different way, we will ask for your consent where the law requires it.

21. Language

This policy is available in English and Turkish. If the two versions differ, the English version controls, except where Turkish law requires the Turkish text to be used for people in Turkey.
