Monthly bookkeeping services for small businesses
Good books are not a year-end project. They are a monthly habit: every transaction recorded, every account reconciled and a short set of reports you can actually read. Our bookkeeping services are built around that monthly rhythm, so you always know where the business stands and tax season is a formality instead of a scramble.
We are a bookkeeping and tax firm in Rochelle Park, New Jersey. Monthly bookkeeping is the core of what we do. We work in QuickBooks Online with small businesses across Bergen, Passaic, Essex, Hudson and Morris counties and in New York, and online with business owners anywhere in the U.S., including founders in Turkey who own a U.S. LLC. Each client has one dedicated specialist who knows the business and answers in English or Turkish.
What our monthly bookkeeping includes
Transaction recording and categorization
Every deposit, card charge, transfer and payment is recorded in QuickBooks and placed in the right account. We set up bank rules for recurring items, separate owner draws and contributions from business income and expenses, and flag anything we cannot identify so you only answer a short list of questions each month.
Bank, credit card and loan reconciliations
Each account is reconciled to its statement every month. Reconciliation is what turns a bank feed into reliable books: it catches missing and duplicate transactions, bank errors and payments that never cleared. If your books are behind or were never reconciled, we start with catch-up bookkeeping and then move to monthly service.
Receivables, payables and sales tax tracking
We keep accounts receivable and accounts payable tied to real open invoices and bills, so you can see who owes you and what you owe. If you collect New Jersey sales tax, we track the liability in QuickBooks so it matches what gets filed.
Monthly financial reports
At the end of each month you receive a profit and loss statement and a balance sheet, plus any notes on unusual items. If you need more, such as comparisons with prior periods or a monthly review call, we can build it into your monthly service and quote. Lenders, partners and your tax preparer can all work from the same reports.
Our monthly close process
- Statements in. Bank and card statements arrive through the feeds or your secure upload in the first days of the month.
- Record and reconcile. We categorize transactions and reconcile every account to its statement.
- Questions out. You get one short list of items we need you to explain, not a stream of emails.
- Review and report. We check the balance sheet, close the month and send your reports.
Most months close within the first weeks of the following month.
How bookkeeping fees are set
We do not sell set packages. Your monthly fee is set individually and depends on three things: how many transactions go through your accounts each month, how many bank and credit card accounts we reconcile, and whether you want reports monthly or quarterly. After a free review of your books we quote one fixed monthly fee, agreed before work starts, so there are no hourly surprises. New clients get 10% off their first engagement. All our bookkeeping services
Monthly bookkeeping is the center, and the other services either prepare the books for it or depend on it:
- Fix a messy QuickBooks file when the books were recorded but recorded wrong.
- Catch-up bookkeeping when months or a full year were never entered.
- QuickBooks Online setup for a new business or a move from QuickBooks Desktop or spreadsheets.
- New Jersey sales tax returns prepared from reconciled sales data.
- Year-end 1099 preparation for the contractors you paid during the year.
- Payroll software setup and support for QuickBooks Payroll or Gusto, with payroll processing and filings available on request.
Who our bookkeeping services are for
Our clients are mostly small businesses in New Jersey: restaurants, contractors, retail stores, real estate businesses and service companies that want one person to keep the books and prepare the taxes. We also keep the books for foreign-owned U.S. LLCs, whose owners need clean records to file Form 5472 and the federal return each year. The IRS Instructions for Form 5472 also require those companies to keep records that support what the form reports.
Local office, online service
If you are searching for bookkeeping services near me in North Jersey, our office is at 114 Essex St in Rochelle Park, and we can also visit your business. If you are elsewhere in the U.S. or in Turkey, our online bookkeeping services work the same way: QuickBooks Online access, secure document sharing and video meetings at times that suit your time zone.
How to choose the right service
Companies with more than one entity or an in-house bookkeeper can also hand us part of the work; see outsourced bookkeeping for growing companies. Not sure where to start? Book a free 15 to 30 minute consultation. We look at your books, tell you whether you need a cleanup, catch-up work or can start monthly bookkeeping right away, and give you a fixed quote.
