Payroll that matches your books
Running payroll today usually means a payroll platform such as QuickBooks Payroll or Gusto. The software calculates taxes, pays employees by direct deposit and can file many payroll returns. But it only works as well as its setup. A missing New Jersey account, a wrong tax setting or wages posting to the wrong place in your books can stay hidden until a notice arrives or year-end numbers do not add up.
Our payroll service focuses on payroll setup and support. We configure your payroll software correctly, connect it to your books and stay available for questions once you are running. Payroll processing and payroll tax filings are available on request. We work with small businesses in Rochelle Park and across Bergen, Passaic, Essex, Hudson and Morris counties, and online with clients across the U.S.
What our payroll services include
Payroll software setup
We set up QuickBooks Payroll or Gusto with your company details, federal and New Jersey tax account numbers, pay schedules, pay types and deductions. Employees are added with their W-4 and NJ-W4 details and direct deposit. Before the first real payday we review a test run with you. If you are switching providers mid-year, we bring over year-to-date figures so W-2s come out right.
Payroll recorded in your books
Wages, employer taxes and payroll liabilities post to the correct accounts, and payroll bank withdrawals are reconciled to payroll reports every month as part of our monthly bookkeeping. If payroll is not set up in QuickBooks yet, we include it in your QuickBooks setup.
Ongoing support
When you add an employee, change pay rates or get a letter about payroll taxes, you ask the same specialist who set up your system, in English or Turkish.
Payroll processing and filings on request
If you want us to run payroll each period or prepare payroll tax filings and W-2s, we can do that on request. We confirm the scope and price with you first.
Payroll basics for New Jersey employers
These are the main filings most employers deal with. Payroll software usually prepares and files them once it is set up correctly.
- Federal Form 941 is filed every quarter, by the last day of the month after the quarter ends.
- Federal Form 940 reports federal unemployment tax once a year, due by January 31.
- Form W-2 goes to each employee by January 31 and is filed with the Social Security Administration.
- New Jersey Form NJ-927 is the quarterly employer report, due by the 30th day of the month after the quarter, and it is required even for a quarter with no tax withheld.
- New Jersey NJ-W-3 reconciles the year’s state withholding and is generally due by February 15.
Federal payroll tax deposits follow a monthly or semiweekly schedule (see the IRS employment tax due dates), and New Jersey may require monthly payments when withholding goes above $500 in a month, as the New Jersey employer withholding guide (NJ-WT) explains. To register as a New Jersey employer you first need a federal EIN; if you do not have one, start with our EIN application service. The IRS employment tax recordkeeping guidance asks employers to keep employment tax records for at least four years.
Employees or contractors?
Not everyone you pay belongs on payroll. Independent contractors are paid without withholding and reported on Form 1099-NEC instead of a W-2. Our 1099 filing service covers them. Classifying a worker correctly depends on the facts of the relationship, and New Jersey’s ABC test is stricter than the federal rules. Our guide to W-2 vs 1099 workers explains both tests, and we can walk through your case during the free call.
What we do not handle
We do not provide workers’ compensation insurance or HR services such as hiring, benefits administration or employee handbooks. Your payroll platform or an insurance provider covers those.
Fixing payroll that does not match
If your payroll reports and your books have drifted apart, we reconcile them as part of a QuickBooks cleanup and correct the setup so it stays fixed. Most of our payroll clients are small businesses in New Jersey that keep their books with us.
Tipped staff and part-time shifts make payroll harder for restaurants and retail stores; our industry pages explain what to watch.
